Cancellation & Refund Policy

Summary: You can cancel anytime through your dashboard. Access continues until the end of your billing period. No refunds for partial months, but we offer prorated refunds for annual plans under certain circumstances.

1. How to Cancel

You can cancel your ezyWFM subscription at any time through these methods:

  • Self-Service: Go to Settings → Billing in your dashboard and click "Cancel Subscription"
  • Email: Send a cancellation request to billing@ezywfm.com

Cancellation takes effect at the end of your current billing period. You will continue to have access to the Service until then.

2. What Happens When You Cancel

2.1 Immediate Effects

  • Your subscription will be set to cancel at the end of the current billing period
  • You will not be charged again after your current period ends
  • You retain full access to all features until your subscription expires

2.2 At End of Billing Period

  • Your access to the Service will be suspended
  • Your data will be retained for a 14-day grace period
  • You can reactivate your subscription during this period to restore access

2.3 After Grace Period

  • All your organization's data will be permanently deleted
  • This includes employees, schedules, time entries, forecasts, and all other data
  • This action cannot be undone

3. Refund Policy

3.1 Monthly Subscriptions

Monthly subscriptions are non-refundable. When you cancel a monthly subscription, you will have access until the end of your current billing period, but no refund will be issued for the remaining days.

3.2 Annual Subscriptions

For annual subscriptions, we offer prorated refunds under the following circumstances:

  • Within 14 days of purchase: Full refund, no questions asked
  • After 14 days: Prorated refund for unused months may be issued at our discretion

To request a refund for an annual subscription, contact billing@ezywfm.com with your account details.

3.3 No Refunds For

We do not offer refunds in the following situations:

  • Accounts terminated for violation of our Terms of Service or Acceptable Use Policy
  • Partial months of service
  • Unused features or add-ons
  • Downtime covered by our Service Level Agreement (if applicable)

4. Trial Period

We offer a free trial period for new users. During the trial:

  • No payment information is required to start
  • You have access to most features of the Service
  • The trial lasts for 7 days from account creation

At the end of the trial period, you must subscribe to a paid plan to continue using the Service. If you do not subscribe, your account will be suspended and your data will be deleted after an additional 7-day grace period.

5. Downgrading Your Plan

You can downgrade your subscription plan at any time. Downgrades take effect at the start of your next billing period. If you downgrade:

  • No prorated refund will be issued for the current period
  • Features exclusive to your current plan may be disabled
  • Usage limits will be adjusted to your new plan
  • If you exceed the limits of your new plan, some features may be restricted

6. Data Export

Before cancelling, we recommend exporting your data. You can export your data at any time through:

  • Dashboard export features (CSV format)
  • API access (if available on your plan)

Data exports remain available during the grace period after cancellation.

7. Reactivation

If you change your mind after cancelling, you can reactivate your subscription:

  • Before billing period ends: Simply cancel your cancellation request in Settings → Billing
  • During grace period: Subscribe to any plan to restore access to your data
  • After data deletion: You'll need to create a new account and start fresh

8. Account Deletion

If you want to immediately delete your account and all associated data (without waiting for the grace period), you can request immediate deletion by contacting support@ezywfm.com. This action is irreversible.

9. Changes to This Policy

We may update this Cancellation Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date. Changes to the refund policy will not affect subscriptions purchased before the change.
